What personal data we collect and why we collect it

Visitors to our Website

When someone visits https:/visualmeditation.co, we use a third party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. This information is only processed in a way which does not identify anyone. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website. Newsletter Sign Up

As part of the registration process for our e-newsletter, we collect personal information. We use that information for a couple of reasons: to contact you if we need to obtain or provide additional information; to check our records are right and to check every now and then that you’re happy and satisfied; to send you periodically news about our website; to send you new articles from our blog; to inform you about new products, and offers. We don’t rent or trade email lists with other organisations and businesses.

We use a third party provider, MailChimp, to deliver our newsletter. We gather statistics around email opening and clicks using industry standard technologies to help us monitor and improve our e-newsletter. For more information, please see MailChimp’s privacy notice.

You can unsubscribe to general mailings at any time of the day or night by clicking the unsubscribe link at the bottom of any of our emails or by emailing us at info@visualmeditation.co.

Comments

We embed Facebook Comments plugin to allow you to leave comment at our website using your Facebook account. Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Contact forms

Information submitted through the contact forms on our site are sent to our company email, hosted by SendGrid. You can find information about their privacy policy here.

While we keep these submissions for customer service purposes they are never used for marketing purposes or shared with third parties.

Who we share your data with

We don’t share your data with third-parties in a way as to reveal any of your personal information like email, name, etc. However, some data is transferred and/or stored with third-party services we use, like cloud-based services and payment processors. This is done as a way to provide you with a better overall service and user experience.

Here are the services we use to make our own service better for you:

  • PayPal – we use Paypal as one of our payment processor. During checkout, a client will provide login information and credit card info. This information is processed directly within this gateway payment and we do not save it on our site. You can access their privacy policy here.
  • Sendspace – we use Sendspace so you can download files after the completion of an order. We do not provide Sendspace with personal data, we use this service only to send files.

We use WooCommerce as the ecommerce platform for processing orders on our website. When you place orders on our website, your information will be processed by WooCommerce. WooCommerce does not collect any information about you when it processes your order on our site. WooCommerce is owned by Automattic and you access their privacy policy here.

How long we retain your data

This section sets out how long we retain your information. We have set out specific retention periods where possible. Where that has not been possible, we have set out the criteria we use to determine the retention period.

  • Order information: When you place an order for goods and services, we retain that information for a minimum period of six years following the end of the financial year in which you placed your order, in accordance with our legal obligation to keep records for tax purposes.
  • Correspondence and enquiries: When you make an enquiry or contact us by email or via our contact form, we will retain your information for as long as it takes to respond to and resolve your enquiry, and for 6 further month(s), after which point we will delete your information.
  • Mailing list: We retain the information you used to sign up for our newsletter for as long as you remain subscribed (i.e. you do not unsubscribe) or if we decide to cancel our newsletter service, whichever occurs first.
  • Comments: If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.
  • Registered users: We only register users that contribute as authors to our websites. We store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have purchased from this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

How we protect your data and what data breach procedures we have in place

We protect customer data with the following site features:

  • We are entirely using SSL/HTTPS throughout all our site. This encrypts our user communications with the servers so personal identifiable information is never captured by third parties without authorization.
  • Databases are sanitized (actual user personal details are removed) before deploying to development or testing environment.

In case of a data breach, System administrators will immediately go through affected users and will attempt to reset passwords if needed after informing the user.

Children

We do not intend to collect or knowingly collect information from children. We do not target children with our services. If you are aged 18 or under‚ please get your parent/guardian’s permission beforehand whenever you provide us with personal information.
